Introduction

As of 25 May 2018, the General Data Protection Regulation (GDPR) has come into force. The Association National Underground Museum and VVV Aalten (we, us, our) is also bound by this regulation. We consider the protection of personal data to be of essential importance and have drawn up a privacy policy. In our Privacy Policy, we provide clear and transparent information on how we process personal data of volunteers and employees, members, customers, and visitors of our website.

A step-by-step plan provides insight into how we implement the Privacy Policy.

The privacy policy previously established by the museum, ‘Privacy Regulation National Underground Museum and VVV’ dated 9 February 2016, has been updated by the new policy. The policy ‘Privacy Camera Surveillance’ (14 February 2017), also previously established, remains unchanged in force and is part of the updated policy.

2. Personal Data

Personal data is data that can be traced back to an individual. We use your personal data when you visit our website, contact us via social media, become a volunteer or friend of ours, or make a donation. We also process data for participation in a walk, tour, lecture, a visit to the Escape Room, or for other products or services, to serve you as well as possible.

The personal data we request and use from you depends on the type of service or the type of product you purchase from us, such as:

Name, address, place of residence, (mobile) telephone number, and email address;

Title of address: Mrs., Mr.;

The content of your communication with us, for example when you contact us by email or otherwise;

Your bank account number in case of payments or reimbursements;

Date of birth of permanent employees and volunteers;

BSN number (Citizen Service Number) of permanent employees;

Images captured by our security camera in the central entrance.

3. Security

Registrations containing personal data are stored digitally. Some registrations are also printed and stored in folders in a lockable cabinet or drawer. Only employees and volunteers who need your personal data to carry out their work have access to your personal data. Insofar as volunteers work on our PCs, they must use a password for this. Moreover, they only have access to a shielded section that relates exclusively to the work that the respective volunteer has to do.

4. Processors

For some of our activities related to personal data, we rely on external organisations. Such as for creating backups of files on our computers, setting up and maintaining ICT infrastructures, online payments for bookings for the Escape Room, and sending digital newsletters.

These external parties do so under our responsibility. Therefore, data processing agreements are drawn up with them. These state what the respective processor is allowed and required to do, also with regard to safeguarding your privacy.

5. Sharing Personal Data

When you sign up for our digital newsletter, we pass on your name and email address to the website Mailchimp, which will send the newsletter to you. We also pass on your personal data when necessary, such as for processing payments, or when we are legally obliged to do so. Otherwise, we will only pass on your personal data to third parties with your consent.

We draw your attention to the fact that when you watch YouTube videos on our website, your visitor data is thereby shared with YouTube. In this case, we refer you to the Privacy Policy of YouTube.

6. Camera Surveillance

This regulation oversees the camera surveillance in the central hall of NOMA/VVV. Using a camera, recording takes place continuously. The image information is stored digitally, controlled by motion detection. The image information constitutes a personal registration within the meaning of the Data Protection Act. In a separate regulation, the policy on camera surveillance is formulated. The regulation was established on 14 February 2017 and provides a description of tasks, responsibilities, and procedures regarding camera surveillance, with a view to the proper use of the camera system and the protection of privacy.

7. Social Media

Via the web and other social media, we are happy to engage in dialogue with members, customers, and visitors of the website about our museum and our exhibitions. The aim is to provide useful and relevant information and answer questions. For this purpose, we actively monitor the internet and social media, such as Facebook, Twitter, and blogs. We follow discussions on these channels, participate in them, or respond proactively. We also answer individual, relevant questions and comments.

We expressly reserve the right not to respond to every question or comment. No right can be derived from whether or not a substantive response is given. When participating in discussions, answering questions, or responding to comments, it may happen that we record (personal) data. These will naturally be processed in accordance with this privacy policy.

We are not responsible for the handling of personal data by other participants in social media or the content on their social media.

8. Website and Cookies

We have provided our website with extra security, so that you do not receive notifications of non-secure connections (SSL certificate).

When you visit our website, cookies are placed on your computer and stored by your browser. Cookies are small text files that increase the user-friendliness and effectiveness of our website for you.

Via our website – through links – you can access other websites, such as Heritage Aalten and Collection Gelderland, but also, for example, on Facebook, Twitter, and Tripadvisor. You can also watch YouTube videos on our website. We are not responsible for the use of cookies by other websites and YouTube. In these cases, we refer you to their Privacy Policies.

9. Information and Communication

We will inform our employees and volunteers as best as possible about the content of the General Data Protection Regulation. Via the digital newsletter, we keep our members, donors, and other interested parties informed about our new privacy policy.

When we ask you to fill in a form, it will be stated there for what purposes the National Underground Museum needs personal data.

10. Retention

We do not retain your personal data longer than necessary. Regarding financial data, we apply the statutory retention period of seven years.

11. Rights

Of course, you have the right to inspect which data we register about you. You can also have these corrected, restrict their processing, request them for transfer to another controller – where technically feasible – or have them deleted.

12. Complaints

Complaints about the application of the privacy policy, about the behaviour of the officials involved in the policy, with the exception of police and judicial officials, or complaints about the refusal of access to personal registrations and image information, can be submitted in writing within six weeks to the director of NOMA/VVV. This also applies in the case of complaints about treatment.

The handling of this complaint is carried out in accordance with the Privacy Policy of NOMA/VVV.

We do everything in our power to process your personal data as prescribed in the General Data Protection Regulation. If you still feel – even after contacting us – that your personal data is being processed in violation of our privacy policy, you have the right to lodge a complaint with the Autoriteit Persoonsgegevens (Data Protection Authority).

13. Changes

We reserve the right to make changes to our privacy policy. If we make a significant change that affects the way we process your personal data, we will make this known via a notice on our website and in the newsletter.

14.
